Office Assistant / Management Board Assistant
At MAAG we have recently started new chapter in our 110 years history with ambitious growth plans for our business. We are therefore standing at the brink of a transformative period for our company, and you can have a role in this journey as part of the People and Management System Department. In this role you will manage daily operation in our reception desk and cooperate closely with our Board Managers to assist them in their daily activity.
We are looking for ambitious and open for learning individual with strong organizational skills, problem-solving abilities, and proficiency in preparing professional-level presentations. The ideal candidate should possess a positive attitude and exhibit strong written and verbal communication skills, particularly in English.
Key responsibilities:
- Create, format, and manage official documents, reports, and spreadsheets.
- Maintain accurate records and ensure proper organization of both digital and physical files.
- Assist in drafting and proofreading reports, memos, and internal/external communications with a strong emphasis on detail and clarity.
- Develop high-quality PowerPoint presentations that adhere to professional standards and align with the company’s brand and visual identity.
- Assist with scheduling and coordinating meetings, travel arrangements, and events.
- Manage office supplies, equipment, and related tasks such as mail distribution and document scanning.
- Support team members and departments with general administrative duties.
- Proactively identify and resolve issues related to office operations.
- Suggest improvements in office workflows to enhance efficiency.
- Respond to urgent requests and address administrative challenges promptly.
- Manage multiple tasks and priorities in a fast-paced environment.
- Maintain calendars, schedule appointments, and meet deadlines efficiently.
Requirements:
- Background in administration or a related field.
- Excellent proficiency in spoken and written English.
- Strong knowledge of PowerPoint, Word, and Excel.
- Exceptional organizational skills.
- Engaged attitude towards daily tasks with a positive outlook.
- Ability to multitask, prioritize effectively, and manage time efficiently.
- Strong problem-solving skills and critical thinking capabilities.
- Excellent communication skills coupled with a positive, professional demeanor.
- Proactive approach with flexibility to embrace new challenges.
